About the Role

Headstone Lane Parish is seeking a proactive and organised Parish Administrator and Communications Assistant to support the Parish Priest and parish community.

This varied and rewarding role is at the heart of parish life, providing administrative, communications and organisational support to ensure the smooth day-to-day running of the parish. You will act as the first point of contact for visitors, volunteers and clergy, helping to create a welcoming and professional environment while supporting the parish’s pastoral, liturgical and community activities.

Key Responsibilities

Communications and Administration

  • Act as the first point of contact for the parish office, greeting visitors and responding to enquiries.
  • Produce and distribute the weekly parish newsletter and eBulletin.
  • Maintain parish databases, noticeboards and website content.
  • Prepare Mass intention sheets, liturgy materials and parish notices.
  • Manage correspondence, diaries, appointments and administrative records.
  • Maintain filing systems in line with diocesan procedures.
  • Support parish staff, volunteers and clergy with administrative tasks.
  • Assist with safeguarding administration and DBS processing.

Hall and Facilities Management

  • Coordinate bookings for the parish hall and meeting rooms.
  • Manage booking enquiries, contracts, invoices and payments.
  • Promote parish facilities to local businesses, organisations and community groups.
  • Develop opportunities to increase usage of parish facilities and generate income.
  • Ensure facilities are presented in a welcoming and professional manner.

Parish Events and Pastoral Support

  • Assist with the administration of baptisms, weddings and funerals, including maintenance of registers and certificates.
  • Support parish events, community activities and fundraising initiatives.
  • Liaise with contractors, surveyors and property-related contacts when required.
  • Assist the Parish Priest with a variety of administrative and operational duties.
  • Support Health and Safety requirements and other parish compliance activities

What We’re Looking For

We’re seeking someone who is not only competent in administration but who also embodies our diocesan values of Competence, Reliability, Honesty, Perseverance, and Love.

  • An experienced administrator or secretary with excellent organisational skills.
  • A confident communicator with a warm, friendly and professional approach.
  • Able to manage multiple priorities while maintaining attention to detail.
  • Comfortable working independently and as part of a team.
  • Adaptable, resourceful and able to solve problems effectively.
  • Proficient in Microsoft Word and Excel.
  • Willing to learn Affinity layout software if not already experienced.
  • Respectful of diverse communities and committed to providing excellent service

Experience working in a faith-based or charitable setting is welcome but not essential.
