About the Role

We are seeking a proactive and organised ICT Team Administrator to provide vital administrative and operational support to our ICT function, serving both the Diocese of Westminster and the Archdiocese of Southwark.

This is a varied and rewarding role where you will act as a central coordination point between the ICT team, internal stakeholders, and external suppliers. You will combine strong administration skills with service desk coordination, data management, and basic technical support.

Key Responsibilities

Administrative & Operational Support

  • Coordinate meetings, prepare agendas, and take minutes
  • Manage shared ICT inboxes and triage requests using Jira
  • Schedule engineer visits, maintenance, and project activities
  • Support budgets, invoices, and procurement processes

Service Desk & User Support

  • Log and manage support tickets, ensuring timely updates
  • Provide first-line support (password resets, troubleshooting)
  • Support staff onboarding and offboarding processes
  • Escalate complex issues to ICT engineers

Data & CRM Management

  • Maintain and update the diocesan CRM system (DbD)
  • Ensure data accuracy, integrity, and compliance
  • Support reporting and audit requirements

Documentation & Reporting

  • Maintain ICT documentation, policies, and procedures
  • Produce service performance reports (e.g. SLAs, ticket volumes)
  • Ensure accurate record keeping for governance and compliance

Asset & Supplier Coordination

  • Manage ICT asset registers and equipment tracking
  • Monitor software licensing and renewals
  • Liaise with suppliers, obtain quotes, and track orders

ICT Project Support

  • Assist with rollout of IT projects across parishes and sites
  • Support communications, planning, and training coordination
  • Contribute to testing and implementation activities

Basic Technical Support

  • Support Microsoft 365 and Active Directory administration
  • Assist with basic server tasks under supervision
  • Monitor system alerts and support routine maintenance

What We’re Looking For

  • Excellent communication and organisational skills
  • Strong attention to detail and ability to manage multiple priorities
  • Proven teamwork and problem-solving abilities
  • Proficiency in Microsoft 365
  • Good understanding of basic ICT concepts

Desirable:

  • Experience in a similar role
  • Familiarity with CRM systems (e.g. DbD)
  • Understanding of IT asset management or service management practices
  • Basic knowledge of server environments or ITIL frameworks

Experience working in a faith-based or charitable setting is welcome but not essential.
