St Luke’s, Pinner, part of the Diocese of Westminster, is seeking a warm, organised and dedicated Parish Administrator & Bookkeeper to support the daily running of our busy parish. This role is at the heart of parish life—supporting our clergy, volunteers, and parish community by ensuring the smooth running of administrative, financial, and pastoral processes.

About the Role

In this varied and rewarding position, you will provide financial administration, bookkeeping, office support, and communication coordination for the parish. You will help to create a welcoming and well-managed environment that supports our pastoral, liturgical, and community mission.

Key Responsibilities

Parish Communications

  • Act as the first point of contact in the parish office, offering a friendly and professional welcome.
  • Produce the weekly parish newsletter, Mass sheets, liturgy books, notices, and bidding prayers.
  • Prepare Mass intention sheets and maintain parish noticeboards and the parish website.
  • Maintain accurate databases for parish groups and parish records.

General Administration

  • Provide administrative support including correspondence, certificates, diary management, and filing.
  • Order and manage parish supplies and office equipment.
  • Prepare and circulate Parish Council papers and minutes.
  • Support rotas for readers, counters, stewards, and cleaners.
  • Update GDPR and parish data records.

Event & Sacramental Support

  • Manage bookings and day-to-day running of parish meeting rooms.
  • Maintain baptism, wedding, and funeral registers; prepare documentation for ceremonies.
  • Support parish fundraising and community events as needed.

Bookkeeping & Financial Administration

  • Maintain the parish accounts using the OPAS system.
  • Complete monthly bank reconciliations and prepare annual financial returns.
  • Manage credit card entries, parishioner donations, online banking, and planned giving records.
  • Prepare quarterly finance reports and Gift Aid claims.

Essential Skills & Experience

  • Excellent communication and organisational skills.
  • Ability to manage multiple tasks and deadlines with strong attention to detail.
  • Experience as an administrator or secretary.
  • Experience using financial or accounting software.
  • Strong teamwork skills and the ability to work independently.
  • Competence in Microsoft Office (Word, Excel, Publisher).
  • Sensitivity and respect for diverse groups.
  • Commitment to the mission and values of the Catholic Church.

Desirable

  • AAT qualification or equivalent.
  • Understanding of Catholic Church structures.
  • Desire to contribute actively to the life of the Catholic community.

Experience working in a faith-based or charitable setting is welcome but not essential.
