About the Role
As Parish Administrator, you will be responsible for overseeing day‑to‑day office operations, coordinating parish communications, supporting sacramental administration, and ensuring our facilities and systems run effectively.
You will be the first point of contact for visitors and parishioners—helping to maintain a warm, supportive, and professional parish environment.
Key Responsibilities
Parish Communications
- Serve as the first point of contact for visitors, parishioners, clergy, and volunteers
- Prepare, proofread, and produce the weekly parish newsletter, Mass sheets, liturgy books, and notices
- Maintain parish databases, noticeboards, and website updates
Administrative Support
- Provide general administrative assistance including correspondence, certificates, diary management, and filing systems aligned with diocesan audit requirements
- Manage baptism, wedding, and funeral registers and associated paperwork
- Oversee cash collection processes and support with volunteer rotas (readers, counters, stewards, cleaners)
Property & Facilities
- Support the management and record‑keeping of six parish‑owned flats, liaising with property agents where required
- Act as the main contact for contractors (surveyors, electricians, plumbers, etc.)
- Coordinate parish hall and room bookings, including contracts, invoices, and ensuring spaces are well‑maintained
Health & Safety
- Assist the Parish Priest in meeting health and safety requirements
- Manage incident reporting, risk mitigation, and updates to diocesan H&S policies Volunteer Support
- Supervise parish office volunteers, ensuring confidentiality agreements and safeguarding processes are followed

- Excellent communication and organisational skills, with the ability to manage multiple deadlines
- Experience as an Administrator or Secretary
- Strong Microsoft Office skills (Word, Excel, Publisher)
- Ability to work independently and collaboratively
- Problem‑solving skills and adaptability in a dynamic environment
- Sensitivity, confidentiality, and respect for diverse groups
- Commitment to the mission and values of the Diocese of Westminster
Experience working in a faith-based or charitable setting is welcome but not essential.
